Every cleaner and property contractor insured and police checked.

Cleaning companies, strata managers and facilities managers work with long, changing lists of contractors across many buildings. UpToDocs collects their insurance, checks and licences, reads the expiry dates, and follows up before anything runs out.

How it works

  1. Add who you work with. Type them in, upload a spreadsheet, or drop in the documents you already hold and UpToDocs sets each contractor up from those.
  2. They upload their own documents. Each contractor gets a private link by email, or by text when you send one. No account or app needed.
  3. The details are read for you. UpToDocs reads who each document is for, the issuer, the number and the expiry date, and shows it to you for a quick confirm.
  4. Reminders go out on their own. Each contractor is reminded 30, 14 and 7 days before a document expires. You hear about it when something actually lapses, plus a short summary every Monday.

What you can track

  • Public liability, with anything below your minimum cover flagged.
  • Workers compensation, or personal accident cover for sole traders.
  • National police checks for anyone working in occupied buildings or after hours.
  • Pest management licences from the state regulator.
  • Test and tag records (AS/NZS 3760) for tools and leads.
  • Working at heights (RIIWHS204E) for window, gutter and roof work.
  • Visa or work rights (VEVO).
  • Motor vehicle insurance for contractors driving between sites.
  • Anything else you ask for, as your own document type, with or without an expiry date.

How it looks in practice

A facilities manager looks after 25 buildings with about 60 contractors: cleaners, gardeners, pest controllers, electricians and lift techs. New contractors start every month and others drop off.

They upload their existing contractor spreadsheet, and UpToDocs matches each row and sends every contractor a link. Certificates come back, the dates are read, and the manager can see at a glance which buildings have a contractor with lapsed cover. Contractors they stop using are paused or archived, so nobody is reminded for work they no longer do.

Built for how you work

  • Made for long lists. Add contractors by spreadsheet or by dropping in the certificates you already hold, and filter by what's missing or expiring.
  • Buildings and sites, if you want them. Group contractors by building or contract, and ask one site for extra documents.
  • ABNs checked on the government ABN Lookup when you add a contractor and every 30 days after.
  • Pause anyone you're not using. They stop getting reminders and drop out of your Monday summary, without losing their records.
  • Free for your contractors. No account, app or fee for them.

Questions

Can I show a strata committee or client that a contractor is covered?

Yes. Download a compliance report for one contractor or the whole list, or show their documents straight from UpToDocs.

What about contractors who work for several of our buildings?

Add them once. Projects let you show which buildings each contractor works at, and ask a building for extra documents.

We already keep a spreadsheet. Do we have to retype it?

No. Upload it, check how the columns match, and UpToDocs builds the list. You can also drop in the certificates you already hold and it sets each contractor up from those.
