Screening checks and registrations current for every worker and contractor.
NDIS, aged care and health providers need every support worker, nurse and allied health contractor screened, registered and trained, and need to show it when an auditor asks. UpToDocs collects the documents, reads the expiry dates and follows up before any of them lapse.
How it works
- Add who you work with. Type them in, upload a spreadsheet, or drop in the documents you already hold and UpToDocs sets each person up from those.
- They upload their own documents. Each person gets a private link by email, or by text when you send one. No account or app needed.
- The details are read for you. UpToDocs reads who each document is for, the issuer, the number and the expiry date, and shows it to you for a quick confirm.
- Reminders go out on their own. Each person is reminded 30, 14 and 7 days before a document expires. You hear about it when something actually lapses, plus a short summary every Monday.
What you can track
- NDIS worker screening checks for risk assessed roles, which last 5 years.
- AHPRA registration for nurses, physios, OTs, psychologists and other registered practitioners, renewed every year.
- National police checks, where a role needs one.
- First aid (HLTAID011) and CPR (HLTAID009), with CPR usually redone every year.
- Flu and hepatitis B vaccinations and immunisation records.
- Working with children checks for workers supporting children.
- Professional indemnity and public liability for allied health and other contractors.
- Driver licence and car insurance for workers who drive participants.
- Anything else you ask for, as your own document type, with or without an expiry date.

How it looks in practice
A small provider has 18 support workers and 6 allied health contractors. Screening checks, CPR certificates and AHPRA renewals all fall due at different times, and the person who tracked them has just left.
The provider pastes their worker list in from a spreadsheet. Each worker gets a link to upload their documents, and UpToDocs reads the check numbers and expiry dates for a quick confirm. From then on, each worker is reminded before their CPR or registration runs out, and the provider gets a short summary every Monday. When the auditor arrives, they download one report showing who holds what.
Built for how you work
- Audit-ready. A one-page compliance report and a full export, so you can show what was on file and when.
- Workers and contractors in one list. Employees, sole trader support workers and allied health businesses each have their own documents.
- Not tied to the office. Records sit with your organisation, not in one person's inbox. Add your coordinators so they can see where things stand.
- Gentle wording. Every message says your organisation is requesting documents, and workers don't need an account or an app.
- Australian. Hosted in Sydney, with every document encrypted.
Questions
Does UpToDocs check the NDIS Worker Screening Database for me?
No. It keeps each worker's screening check and its expiry date, and reminds them before it lapses. Verify a new worker's clearance with the NDIS Commission, and note the date you checked on their record.
Can it track things that change every year, like CPR and flu shots?
Yes. Each document has its own expiry date, and the worker is reminded 30, 14 and 7 days before it runs out.
Can our contractors use it too?
Yes. Add allied health businesses and sole traders the same way, and ask them for insurance as well as registrations.
