Every owner-driver and carrier licensed, insured and fit for the road.

Freight, courier and logistics businesses rely on owner-drivers and subcontracted carriers who each hold licences, registrations, insurance and medicals with their own expiry dates. UpToDocs collects them, reads the dates, and follows up before anything runs out.

How it works

  1. Add who you work with. Type them in, upload a spreadsheet, or drop in the documents you already hold and UpToDocs sets each driver up from those.
  2. They upload their own documents. Each driver gets a private link by email, or by text when you send one. No account or app needed.
  3. The details are read for you. UpToDocs reads who each document is for, the issuer, the number and the expiry date, and shows it to you for a quick confirm.
  4. Reminders go out on their own. Each driver is reminded 30, 14 and 7 days before a document expires. You hear about it when something actually lapses, plus a short summary every Monday.

How it looks in practice

A courier business has 35 owner-drivers in vans and a few subcontracted carriers with trucks. Licences, rego and insurance all renew at different times, and a lapsed one usually turns up only after something goes wrong.

The business drops in the licences and certificates it already holds, and UpToDocs sets up each driver from them. Drivers get a link to upload anything missing. From then on, each driver is reminded before their rego, insurance or medical runs out, and the business hears about it only if something actually lapses.

Built for how you work

  • Drivers and carriers in one list. Sole trader owner-drivers and carrier companies each have their own documents.
  • ABNs checked on the government ABN Lookup when you add a driver and every 30 days after.
  • Contracts or depots, if you want them. Group drivers by contract or depot, and ask one for extra documents.
  • No app for drivers. Each driver gets a private link by email, or by text when you send one, and uploads a photo from their phone.
  • A report when you need one. Download a compliance report for a customer or an audit.

Questions

Can a driver upload a photo of their licence from their phone?

Yes. They open their link, take a photo, and UpToDocs reads the details for you to confirm.

Can we track each vehicle separately?

Yes. Ask for a registration for each vehicle, named so you can tell them apart, each with its own expiry date.

Does it check licences with the state road authority?

No. It keeps each licence and its expiry date and reminds the driver before it lapses. Check licence status with your state's road authority where you need to.
