Every coach, volunteer and contractor, current all season.
Clubs need to know that coaches hold a current accreditation, trainers have first aid and CPR, and anyone the club pays is insured. UpToDocs does the asking, reading and reminding, so your committee isn't chasing people every season.
How it works for a club
- Add your coaches and volunteers. Type them in, or paste your list from a spreadsheet or your registration system.
- They upload their own documents. Each person gets a link by email or text. No account or app needed. The message says your club is requesting their documents.
- The dates are read for you. UpToDocs reads the expiry date off each card or certificate.
- Reminders go out before anything lapses. The volunteer is reminded first, and you only hear about it if something is still missing.
What clubs usually track
- Working with Children Check, blue card, Ochre Card or WWVP registration, whichever your state uses
- Coaching accreditation from your sport's governing body
- First aid (HLTAID011) and CPR (HLTAID009)
- Sports trainer accreditation
- Child safe or member protection training
- Concussion training
- Umpire or referee accreditation
- Insurance and licences for contractors the club pays: physios, paid coaches, bar staff (RSA), caterers, groundskeepers
- Anything else your club asks for, with or without an expiry date
Sign up as a club and the usual set is ticked for you. Change it any time in Settings.
Built for how clubs run
- Handover-proof. Records sit with the club, not in one volunteer's inbox. Add other committee members so the child safety officer and secretary can both see where things stand.
- One-page report. Download a compliance report for your league, association or council when they ask.
- Gentle wording. Volunteers give their time, so every message asks politely and explains what's being requested.
- Priced for clubs. Not-for-profit clubs can ask us about community pricing at hello@uptodocs.com.au.
- Australian. Hosted in Sydney, with documents encrypted. Run by VectorOdds, ABN 23 040 828 124.
Already using PlayHQ?
If your sport has switched on PlayHQ's PlaySafe, your coaches' Working with Children Checks are checked there, and that's the right place for them. UpToDocs works alongside it for everything PlaySafe doesn't cover: accreditations, first aid and CPR, training certificates, and the contractors your club hires. For sports without it, UpToDocs tracks the check too.
Checking a card with your state
Each state runs its own scheme, and most expect the club to verify each volunteer's check, not just keep a photo of the card. Our state-by-state guide explains what each one is called and where to check it. Record the date you verified it in the notes on each person. When the season starts, work through our season-start checklist.
Let UpToDocs follow up for you
UpToDocs asks your coaches and volunteers for their checks and certificates, reads the expiry dates, and reminds them before anything lapses. You only hear about it when something needs you. Start with a 14-day trial of everything.
This page is general information, not legal advice. Rules for Working with Children Checks differ by state and by sport; check your state's scheme and your sport's member protection policy.
