Every contractor and associate insured, cleared and registered.
IT firms, consultancies, accounting practices and agencies bring in contractors and associates who need professional indemnity, often cyber cover and a police check, and sometimes a security clearance or professional registration. UpToDocs collects them, reads the dates, and follows up before anything lapses.
How it works
- Add who you work with. Type them in, upload a spreadsheet, or drop in the documents you already hold and UpToDocs sets each contractor up from those.
- They upload their own documents. Each contractor gets a private link by email, or by text when you send one. No account or app needed.
- The details are read for you. UpToDocs reads who each document is for, the issuer, the number and the expiry date, and shows it to you for a quick confirm.
- Reminders go out on their own. Each contractor is reminded 30, 14 and 7 days before a document expires. You hear about it when something actually lapses, plus a short summary every Monday.

How it looks in practice
An IT consultancy places 20 contractors with government and corporate clients. Each client contract asks for professional indemnity, cyber cover and a police check, and some roles need a Baseline or NV1 clearance.
The consultancy drops in the certificates it already holds, and UpToDocs sets up each contractor from them. Contractors get a link to upload anything missing. When a client asks for proof, the consultancy downloads one report instead of digging through emails.
Built for how you work
- Client contracts, if you want them. Group contractors by client or contract, and ask one for extra documents such as a clearance.
- ABNs checked on the government ABN Lookup when you add a contractor and every 30 days after.
- Name checks. If the name or ABN on a certificate doesn't match the contractor, you're told.
- A report for your clients. Download a compliance report for one contractor or everyone on a contract.
- Australian. Hosted in Sydney, with every document encrypted.
Questions
What does it read from a professional indemnity certificate?
Who the policy is for, the insurer, the policy number and the expiry date, for you to confirm. The minimum cover check applies to public liability certificates.
Our contractors work through their own companies. Is that OK?
Yes. Add the contractor's company as a business, with a contact person for the emails.
Can we track clearances that don't have an expiry date on them?
Yes. Use the revalidation date as the expiry, or keep any document without an expiry date.
