Terms of use
Last updated 31 October 2026
These terms apply to your use of UpToDocs, run by VectorOdds, ABN 23 040 828 124 ("we"). By creating an account you agree to them.
The service
UpToDocs helps businesses of any kind collect and track their subcontractors' insurance certificates, licences and other documents, and reminds everyone before they expire. It is a record-keeping tool. It isn't legal, insurance or workplace safety advice, and it doesn't check that a policy is valid or that cover is adequate for a job.
Your responsibilities
- You remain responsible for your own compliance obligations, including checking that each subcontractor's cover and licences are right for the work.
- Check the details of each document. Where UpToDocs reads details off a document automatically, it can get them wrong, so check every value against the document before you rely on it.
- Only enter information about subcontractors that you have a reason to hold, and keep your login email secure.
- Don't upload anything unlawful or harmful, or try to access another account's information.
Subcontractor accounts and the Wallet
Subcontractors can log in to see every business that uses UpToDocs for them, and can keep their documents in a Wallet to share with businesses and others. Uploading through a business's link stays free. The Wallet may be a paid plan, charged at the price shown when the subcontractor subscribes; if they stop paying, their Wallet goes back to the free features and businesses keep everything already shared with them.
- The subcontractor owns the documents in their Wallet. Each business owns the copy shared with them, as described in our privacy policy.
- A subcontractor chooses each business and each share link. They are responsible for sharing only accurate, current documents and only with people they mean to.
- Businesses still check each shared document and may reject it. A subcontractor account doesn't change what any business requires of them.
Reminders
We send reminders on a best-efforts basis. Emails can be delayed, filtered as spam or not delivered, so don't rely on a reminder as your only check.
Your information
The information and documents you put into UpToDocs remain yours. You can export them at any time. We handle them as described in our privacy policy, including where they are stored and how they are protected.
Trial, fees and cancelling
New accounts start with a free 14-day trial. After that, an account without a subscription moves to the Free plan, which covers a small number of subcontractors at no charge. Paid plans are charged at the price shown when you subscribe. You can cancel at any time, and your account stays open until the end of the period you've paid for.
Availability and changes
We aim to keep UpToDocs available but can't promise it will always be uninterrupted. We may change the service or these terms, and will tell you by email before a change that affects you materially.
Liability
Nothing in these terms excludes rights you have under the Australian Consumer Law. To the extent the law allows, we aren't liable for indirect or consequential loss, and our total liability is limited to the fees you paid us in the 12 months before the claim.
Ending your account
You can close your account by emailing hello@uptodocs.com.au. We may suspend an account that breaches these terms. Before an account closes, you can download your records.
Law
These terms are governed by the laws of Victoria, Australia.
